TRANSPORTATION POLICIES

The following constitutes the agreement between P2P Transportation and all persons registering and paying for transportation with P2P.  It governs all transactions and all accounts and the selfsame accounts are subject to any and all modifications, additions and deletions to these policies whenever they are made.  Although modifications will be immediately announced to all account holders via email or by way of a notice sent home with the child, it is the sole responsibility of each parent to read these policies and to check for updates throughout the contract period.

Please Read Carefully:

Registration:
There is a once a year registration fee of $25/ per family. 

Pre-Payment Policy:  All services must be PRE-PAID either by the Friday before the new service week or the Monday upon pick-up of the child.  Payments may be made online for your convenience.

Non-payment or Missed Payment Day Policy:
As in the previous section, all payments must be PRE-PAID.  If on the Monday of the new week payment is not received by the driver by the end of the day (return trip), the following morning the driver will not pick up your child unless he receives the payment.  There will be no leniency on this policy due to past abuses by otherwise, well meaning parents.  Since at the end of the year, they protested and questioned the amount past due, we agreed to make things more clearer this year by sticking to our no pay - no ride policy in earnest.  This way we both will know that we are up to date!

June Pre-Payment:
All accounts must be fully pre-paid by the first Monday of service in June for the rest of the month.  Accounts failing to make this final payment will accrue the cancellation fee in addition to their balances.

Full School Year - Month Policy:
Transportation is charged for a full year of service - September through June and for each full month.  Instead of charging the full year upfront, we allow you to pay weekly - bi-weekly or monthly.  We do not offer a day to day or week to week service - we only allow you the convenience of paying week to week.  So let's say that charge for the school year is $2,400.00.  We are allowing you to pay it in weekly payments of only $60.00.  However, you are liable for the full amount of $ 2,400.00 less school vacation weeks.

Accounts are charged from the 1st of the month to the last day of the month regardless if there is school or not. 

Examples:
September is charged from Sept. 1 - Sept. 30th.  June is charged from June 1st - June 30th.  Even if your child ends school on June 10th, you are still required to pay the weekly rate through June 30th.  Remember also that June must be pre-paid in its entirety by the first Monday of service. 

If your child stated school on the 15th of September or you registered and ordered service on the 15th of September, in order for service to commence, you will have to pay up from September 1st to September 15th and pre-pay the first week of service.

The only exceptions are for School Vacation weeks which are not charged.

EXCEPTION TO FULL SCHOOL YEAR POLICY: Only those children who are registered for less than full year service - which is exactly September through December, January to June or July through August are exempt from the full year requirement.  However, these registrations are on a stand-by basis meaning that if another full-time student becomes registered, they will take precedence in reserving that seat.  Only if there is a seat available during the service period will stand-by registrations be accepted according to the then established routes.  Students applying under the exception will not be allowed to reserve a seat in the following consecutive part of the year unless they pay a cancellation fee as outlined under that section.

Equipment:
Unless otherwise specified, all transportation service will be fulfilled by our fleet of minivans and/or 16 passenger full capacity vans.  We reserve the right to change equipment and drivers at any time. 

Lateness:
Also, we are not responsible for lateness's at school.  Many parents on a given route may cause a minute or two of delay and this will cause our drivers to arrive late at your pick-up and at the school.  We have over the years made a great effort in dealing with school administrators to allow bussed children to arrive late without penalty - but this cannot be assured.  We ask that all parents ensure that their children are waiting for the van or bus on time and quickly mount without delaying the route. 

Fuel Surcharge:
There will be a fuel surcharge added to your account in the event gasoline prices rise above $4.49/gal. 

Flat Fee:
The fees charged to you are flat fees.  No refund or credit is given for missed days or days of service interruption.  In the event that your child does not get to attend school or leaves school early, you must notify P2P IMMEDIATELY or you will be charged a $5.00 inconvenience fee

Service Interruptions:
We reserve the right to cancel service for one day per month in order to make repairs and conduct maintenance on our vehicles.  You will be notified in advance of any such date - however, in case of an emergency repair, wherever possible, we will give you 12 hours notice.  We will try to replace out of service vehicles or absent drivers as best we can, however, this can not be guaranteed.  In the event that repairs be extensive, we cannot grant any credit for service payments pre-paid, however, we will credit your account according to a pre-determined schedule which we will inform you of once service resumes.  Since we are allowed one day per month, we reserve the right to accumulate these days for a total of ten days in which our vehicle may be out of service with no credit or refund due.  Any account that is not pre-paid at the time of service interruption shall not accrue any credit or refund no matter how many days service is interrupted. 

Cancelling Service:
There is no provision for cancellation in this contract.  All parents of children being transported by us are responsible for the total amount due from September thru June according to the other sections of this policy without exception.  Clients cancelling before the end of their term will incur a cancellation fee of $495.00 above the amount already owed as the balance of their account.

Inclement Weather:
Inclement weather is any weather condition the driver determines to be too hazardous to provide service.  This declaration may be made on a single account or to all accounts at a time.

Snow Storms:
In the event it has snowed the night before or is snowing in the morning and there is already on the ground more than 4 inches of snow, we will not provide any service that morning.  With 3 inches, we may provide limited service to certain accounts.  All parents will be notified immediately upon our determination of the weather and street conditions.  We also find that during this type of weather, we are unable to dislodge our vehicles from the snow in the morning in time to provide services - likewise, we have some vehicles and drivers that travel from a greater distance.  For this reason, we may opt not to provide service, either for the morning only or for the whole day. 

Emergency Closings Days, Half Days and When the Child Gets Sick....
For those who need of emergency childcare whenever the weather makes schools close for the day or you need to work or get somewhere at night, we operate a full day and night program at our 9131 Hollis Court Blvd. home where your child will receive academics, snacks, home-cooked meals and a restful night's sleep (for those in the night program).  You are more than welcome to bring your child to our facility for the day and we will ensure that they are put on the bus or van for the afternoon trip.  There will be an additional charge of only $ 30 per child and occurrence (This is the overnight charge as well).

When the Child Gets Sick in School:
By placing Jenny Rosado, Gilberto Rosado and Raul Rolon on the contact card of your child's school, they will call you and then us to pick up the child.  We can bring the child to our home and provide care and a bed to rest (if need be) until you get home from work - we can transport the child at the regular time or you can come to our facility and pick them up.  There will be a fee of only $20 / per child and occurrence.       

EXPLANATION OF RATES & SERVICE:

Rates are not based solely on distance from origin to destination.   Nor are fees contingent on use of service - we are not like a taxi. We must both reserve your child's seat and modify an established route to accommodate your child.  Additionally, we cannot contract another child for any part of any unused portion of your service.  Rates are based on seat reservation from September thru to the end of June and not attendance - it is reserved for the entire school year.  Once the seat is reserved, it is no longer available to anyone else.  Therefore, all parents must pay for the entire school year till the end of June - even daycare pupils. 

Extended Service Areas: Are charged at a higher rate because most of our transportation contracts are within the yellow base area.  It creates an extra burden on everyone's schedule and fuel costs to accommodate the extended areas.  In the case of non-rush hour schedules, extended areas create  extra fuel costs, as well as, scheduling problems with our regular intra-day service to daycares and the like.  Our equipment is also used for day trips, personal time for our drivers and in-house vehicle needs.

Holidays - Our drivers earn a salary even on holidays.  There is no discount for Holidays.  Only "School Vacation Weeks" are not charged.  (We conduct Recess Camps during school closings including Christmas vacation and can provide transportation for your child to our facility during such times - see p2pqv.com for more information).

Family Vacations - Only Board of Education Vacation weeks are not charged - If you take your family on a vacation that is not during the Board of Ed. vacation week or extends before or after, you will be responsible to pre-pay the weeks in question in order to maintain your child's seat.
